1. Who We Are
OrthoCalendar is developed and operated by KoraxFed, based in Cyprus. For the purposes of the EU General Data Protection Regulation (GDPR), KoraxFed is the data controller for the personal data described in this policy.
You can reach us about anything in this policy at koraxfed@gmail.com.
2. Information We Collect
Information you provide to us
- Account information: When you create an account with email and password, we collect your email address and password. You may also provide a display name.
- Google Sign-In: If you choose to sign in with Google, Google provides us with your email address and basic profile information. Signing in with Google creates an account the first time you use it. We never receive your Google password.
- Contact information: If you use the People feature, we store the details you enter for each contact — their name, birthday, nameday, phone number and any notes you add. Please note that this is information about other people: only add details you are comfortable storing, and be mindful that those people have not agreed to this policy themselves. While you type a contact's name, the App sends that name to our server to suggest the matching nameday; it is used only for that lookup and is neither stored nor logged.
- AI chat messages: If you use the Orthodox AI Assistant, the messages you send and the replies you receive are stored so the conversation can be shown back to you as history. See section 6.
- Messages you send us: If you contact us by email from within the App, we receive whatever you write.
Information collected automatically
The App contains no analytics, crash-reporting or advertising-attribution software. We do not track which screens you open, how long you spend in the App, or what you tap. The only device information the App itself reads is:
- Your device's time zone — to schedule notifications at the right local time, and to choose which crisis helplines to show (see section 7).
- Your device's language and country setting — to display the App in the right language and to build the helpline directory link.
- The App version — shown to you at the bottom of the Profile tab so you can quote it in a bug report.
Our backend provider necessarily sees technical connection information such as your IP address when the App talks to it, as any internet service does.
Advertising
The free version of the App displays banner advertisements served by Google AdMob. To do this, the Google advertising software included in the App can access your device's Advertising ID and related Android advertising signals (including the Privacy Sandbox "Topics" and attribution features). AdMob may collect and use data as described in Google's Privacy Policy.
If you are in the European Economic Area or the UK, you are asked for your advertising choices the first time you use the App, through Google's consent tool. You can change that choice at any time from Profile → Manage Privacy Settings. Premium subscribers see no advertisements at all.
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain and secure the App
- Create and manage your account, and confirm your email address
- Personalise your experience (language preference, calendar type)
- Send you the notifications you have switched on, about upcoming namedays and birthdays of contacts you added, and the daily saint. These reminders are generated on your device and include the contact's name in the notification, which means the name can appear on your lock screen.
- Answer your questions through the AI Assistant
- Manage your subscription and keep your Premium status up to date
- Display advertisements to users on the free tier
We do not sell your personal information, and we do not use your data to build advertising profiles ourselves.
4. Legal Bases for Processing
If you are in the European Economic Area or the UK, we rely on the following legal bases under Article 6 of the GDPR:
- Performance of a contract — to create and run your account and provide the features you ask for, including contacts, notifications, the AI Assistant and subscriptions.
- Legitimate interests — to keep the service secure, prevent abuse, and fix faults. We balance this against your rights.
- Consent — for personalised advertising in the EEA and UK, collected through Google's consent tool and withdrawable at any time from Profile → Manage Privacy Settings.
- Legal obligation — where we must retain or disclose information to comply with the law.
5. Who We Share Information With
We do not sell your personal information. We share it with the following service providers, each only to the extent needed to run the App:
- Supabase — our database and authentication provider. Holds your account, profile, contacts and chat history. Supabase Privacy Policy
- Google Gemini — powers the AI Assistant. See section 6 for exactly what is sent. Google Privacy Policy
- Google AdMob — serves advertisements to free users, as described in section 2. Google Privacy Policy
- Google Sign-In — if you choose it as your sign-in method. Google Privacy Policy
- RevenueCat — manages subscriptions. It receives your account identifier (a random ID, not your email or name) together with your purchase and subscription status, so the App knows whether Premium is active. RevenueCat Privacy Policy
- Google Play — processes subscription payments. We never see or handle your payment card details. Google Privacy Policy
- Brevo — delivers our account emails (address confirmation and password reset). It receives your email address. Please note that Brevo automatically wraps the links inside those emails in its own tracking redirect, which records that a link was opened; this cannot be switched off for this type of email. Brevo Privacy Policy
We may also disclose information if we are required to do so by law, or where it is necessary to protect our rights, our users, or the safety of any person.
6. The AI Assistant and Chat History
The Orthodox AI Assistant is a Premium feature powered by Google's Gemini API.
What is sent to Google
- The message you type.
- Up to the last 12 messages of the current conversation, so the assistant can follow the thread.
- Liturgical context for the day: the date, the saint or saints commemorated, the feast, and the fasting rule — plus your chosen language, so it replies in Greek or English.
- Only if your message mentions birthdays, namedays or celebrations: the names and dates of your next few upcoming contact celebrations (at most three, within the next 30 days). This is what lets the assistant answer "whose nameday is coming up?".
Google states that content sent through the paid Gemini API is not used to train its models. That commitment is Google's rather than ours and is governed by Google's terms and privacy policy.
Chat history
Your messages and the assistant's replies are stored in your account so that the conversation survives closing the App and can be reviewed later from the chat history. Only you can read your own conversations.
- You can delete the whole history yourself at any time using the delete button in the AI Assistant. This permanently removes the messages from our database, not just from your screen.
- Messages are automatically deleted after 90 days. To be precise about how this works: the clean-up runs when you next send a message, so if you stop using the assistant entirely, older messages may remain until you use it again or delete your account.
7. Crisis Support
If a message you write to the AI Assistant suggests you may be thinking about suicide or self-harm, the App shows a card with crisis helpline numbers, and the assistant is instructed to respond with care rather than change the subject.
- The check happens entirely on your device. Your message is compared against a built-in list of phrases inside the App. The result of that check is never sent to us, to Google, or to anyone else, and it is never stored.
- Which helplines you see is chosen from your device's time zone, because that is the best available signal for where you actually are. We do not use GPS or look up your location from your IP address, and there is no country setting to store.
- Tapping a number opens your phone's dialler. The call itself is between you and that service — we are not part of it and are not told that you called.
- The "find a helpline" button opens findahelpline.com in your browser. Only a two-letter country code is included in the address; nothing you wrote is shared with them.
Please note that the message itself is still sent to Google as part of the ordinary AI conversation described in section 6, and is stored in your chat history like any other message — you can delete it at any time.
OrthoCalendar is not a crisis service. If you are in immediate danger, please call your local emergency number.
8. Information Stored on Your Device
So the App keeps working without an internet connection, some information is saved on your phone itself:
- A copy of your contacts, including their names, birthdays, namedays, phone numbers and notes, saved as a file in the App's private storage area.
- A copy of your profile settings, including your display name, language and calendar preference.
- The liturgical calendar — saints, feasts and fasting rules. This contains no personal information.
- The last few days of daily reflections, and small settings such as your chosen notification time.
This information is held in the App's private storage, which other apps on your device cannot read. It is excluded from Android cloud backup and from device-to-device transfer, so it is not copied off your phone by those features.
Signing out or deleting your account erases the contact and profile copies from your device. Uninstalling the App also removes them.
Guest mode
You can use the App as a guest, without creating an account. In guest mode, the contacts you add (up to seven) and your settings are saved only on your device, in the same private storage described above, and are not stored on our servers (the nameday suggestion described in section 2 still looks up a name as you type it, without keeping it). They are lost if you uninstall the App. Guests cannot use the AI Assistant or buy a subscription.
If you later sign in or create an account, the App moves your guest contacts into your account so they are kept with it. When the account already has contacts, or not all of them fit in the free plan, the App asks you first; any contacts that are not moved stay on your device.
9. Data Storage, Location and Security
Your account data is stored with Supabase, which encrypts data in transit and at rest. Connections between the App and our backend are encrypted, and the App refuses unencrypted connections to our services.
Depending on the region our backend is hosted in, your data may be processed inside or outside the European Economic Area. Our providers — Supabase, Google, RevenueCat and Brevo — operate internationally, and where personal data is transferred outside the EEA they rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses. Links to each provider's own policy are in section 5.
We take reasonable measures to protect your information from unauthorised access, use or disclosure. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
10. Data Retention and Account Deletion
We keep your personal data only as long as your account is active, or as long as we need it to provide the service:
- Account, profile and contacts — kept until you delete your account.
- AI chat messages — deleted after 90 days, or immediately when you clear your chat history, with the caveat described in section 6.
- Copies on your device — removed when you sign out, delete your account, or uninstall the App.
- Guest-mode contacts and settings — kept only on your device until you delete them, move them into an account, or uninstall the App. We hold no copy, so there is nothing for us to delete.
Deleting your account
- In the App: go to Profile → Delete Account. This permanently deletes your account and the data associated with it, and cannot be undone.
- By email: if you have already uninstalled the App or cannot sign in, write to koraxfed@gmail.com and we will delete your data within 30 days, except where the law requires us to keep something.
11. Children's Privacy
OrthoCalendar is not directed to children. You must be at least 16 years old to create an account. We do not knowingly collect personal information from children under 16. If you believe a child under 16 has given us personal information, please contact us at koraxfed@gmail.com and we will delete it.
12. Your Rights
Depending on where you live, and in particular if you are in the European Economic Area or the UK, you have the right to:
- Access the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Delete your data — you can do this yourself from Profile → Delete Account
- Object to or restrict our processing of your data
- Receive a copy of your data in a portable, machine-readable format, and ask us to transfer it
- Withdraw your consent at any time, where we rely on consent — for advertising, from Profile → Manage Privacy Settings
To exercise any of these rights, write to koraxfed@gmail.com. We will respond within one month.
You also have the right to complain to a data protection supervisory authority. In Cyprus this is the Office of the Commissioner for Personal Data Protection; in Greece it is the Hellenic Data Protection Authority. If you live elsewhere in the EEA, you may complain to your own national authority.
13. Data Breaches
If a security breach affects your personal data and is likely to result in a risk to your rights and freedoms, we will notify the competent supervisory authority without undue delay and, where required, within 72 hours of becoming aware of it. Where the breach is likely to result in a high risk to you, we will also notify you directly, using the email address on your account.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by updating the "Last updated" date at the top of this page. Your continued use of the App after any changes constitutes your acceptance of the new Privacy Policy. We encourage you to review this page from time to time.
15. Disclaimer
OrthoCalendar is intended for reference purposes only. While we strive for accuracy, feast days, fasting rules, and saint information may contain errors or vary by local tradition. Always consult your priest or a trusted Orthodox source for canonical guidance.
